PURPOSE OF POSITION
Reporting directly to the VP, Accounting & Administration and part of the Accounts Receivable team, the Accounts Receivable Specialist will lead and own the end-to-end invoice-to-cash function across a complex operating environment.
The successful candidate will be responsible for billing accuracy, collections, and customer billing governance across a diverse customer base with highly customised project requirements. Having excellent communication skills is an imperative to be successful in this role to ensure smooth and efficient collaboration with internal and external stakeholders.
TASKS & RESPONSIBILITIES:
- Manage the full invoicing lifecycle, ensuring all invoices are accurate, complete, and compliant with tax, contractual, and customer‑specific requirements
- Lead trade receivables activities, including collection calls, aging analysis, DSO monitoring, and escalation processes to support effective cash flow management
- Serve as the primary customer contact for complex billing inquiries, resolving disputes, negotiating payment arrangements, and driving timely cash collection
- Oversee customer credit management, including credit limit monitoring, coordination with operational teams, and collaboration with external credit insurers—collecting and submitting accounts statements when required
- Prepare and maintain key financial and project documents, such as conditional and unconditional lien waivers or similar customer‑specific forms
- Maintain accurate customer billing profiles, including invoice schedules, required supporting documentation, and configuration accuracy to ensure smooth billing operations.
REPORTING AND PROCESS IMPROVEMENT:
- Prepare, analyze, and distribute routine and periodic reports related to receivables and collections reports to support operational and financial decision-making.
- Communicate proactively with senior management regarding risks, root causes, and recommended corrective actions.
- Identify and recommend continuous improvement initiatives aimed at reducing manual touchpoints, eliminating errors, and shortening billing and collection cycle times.
- Support special projects and ad hoc initiatives as assigned by the manager.
COMPLIANCE:
- Maintain controls that prevent missed, delayed, or incorrect billing.
- Accurately record customer payments, apply cash receipts, and ensure timely reconciliation of accounts, including clearing related general ledger entries.
- Ensure customer‑specific contractual billing terms are interpreted, documented, and applied with consistency.
- Complies with all Nortrak policies and regulations.

QUALIFICATIONS:
EDUCATION:
- Post-secondary degree in accounting, finance or related field preferred.
- 5+ years of experience in accounts receivable or related field.
FIELD OF EXPERIENCE:
- Strong written and verbal communication skills.
- Able to simplify complex matters clearly to customers and internal stakeholders.
- Strong analytical and organizational skills with keen attention to details.
- Comfortable making phone calls and following up with various stakeholders.
- Ability to prioritize and manage multiple tasks effectively under pressure.
- Solid understanding of basic accounting principles.
- Proficient in using MS Office standard programmes, e.g. Excel, Word, Outlook, OneDrive.
- Experience with ERP systems – ideally SAP.
